			<content:encoded><![CDATA[<p>Microsoft Outlook is a desktop email client that is part of the Microsoft Office software suite. The email client does not come with a lot of options to export data like emails, notes, appointments or contacts into other formats or applications. That&#8217;s where the Microsoft Outlook Data Export Add-In comes into play. The free add-in provides the means to export data from Outlook into various other formats so that they can be imported into other applications or processed directly.</p>
<p>The add-in is compatible with Microsoft Outlook 2007 and will install a new toolbar into the application after installation. It will also install various runtimes that are needed to run the Outlook add-in. </p>
<p><span id="more-18520"></span>The options to export the data from Microsoft Outlook is then available from the new toolbar. It is here possible to export Outlook emails, notes, appointments, contacts or tasks into the following formats: MSG, unicode MSG, RTF, TXT, CSV, ICS, vCard, HTML, XML</p>

<p>The user can either select an Outlook folder or single items for the export of the data. Outlook Data Export can be downloaded from the program&#8217;s page <a href="http://outlookdataexp.codeplex.com/">over at</a> the Codeplex website. It is only compatible with Microsoft Office 2007.</p>

<p>The Outlook Duplicate Items Remover is a free program for the Windows operating system that can clear &#8211; or to be more precise move &#8211; duplicate items in Microsoft Outlook. It scans the Outlook contacts, notes, appointments, tasks and emails for duplicate items. This is done by comparing specific variables. For email contacts to be duplicate for example they need to match the first name, last name, company name and email address.</p>

Outlook Duplicate Items Remover would for instance fail to find a duplicate contact entry if the name and company matches but not the email.</p>

Plugins for Microsoft Outlook on the other hand are not that easy to find. One of the better plugins for Outlook is the Clear Context add-on which comes as a personal and professional edition. The personal edition has a limited functionality (when compared to the pro version) but is completely free of charge.</p>
<p>Clear Context can be best described as an inbox management plugin for Microsoft Outlook. It&#8217;s main functionality can be divided into three key areas: Email management, attachment management and managing the inbox or other folders of Outlook.</p>
<p><span id="more-14981"></span>The email management functionality is all about organizing the inbox and filing email messages. Clear Context provides filing suggestions, one click filing possibilities, highlighting of the most important messages and a threaded email conversation view. </p>

<p>Reply All With Attachments is a specialized plugin for Microsoft Outlook that has been designed for users who regularly include attachments that were attached to email messages that they received. The add-on has been tested with Outlook 2007 but chance is that it will also function with previous and future versions of the email client.</p>
<p><span id="more-14819"></span>It has a few additional requirements especially the VSTO 4.0 runtime. The Reply All With Attachments plugin can then be installed by double-clicking the downloaded file. Users should ensure that Outlook is closed during the installation. A new entry called reply all with attachments should appear under the custom actions button in the main Microsoft Outlook menu.</p>

It integrates some of the functionality of Facebook in Outlook including the ability to update the status from within the email client, receiving status updates from friends and seeing the number of new requests (including Friend Requests, Messages, Invites, Pokes)</p>
<p>The installation of the Facebook add-on for Outlook takes only a few seconds and requires no user interaction at all. New buttons are added to the Outlook toolbar that become visible on the next start of the email client.</p>

It will spawn a new browser window or tab that is displaying the Facebook login page. The user has to log in and confirm the log in in Outlook to be able to use the controls in the email client.</p>
<p>From then on its possible to use all the features provided by the Microsoft Outlook add-on. One interesting option provided is to update the Facebook status using the music track played in either Windows Media Player or iTunes.</p>

That&#8217;s a pretty common way of sorting emails and offered in other email clients as well. What many Outlook users do not know is that their email client is also offering advanced sorting possibilities.</p>
<p>This can be easily achieved by pressing the Shift key and at least two title columns. It is for example possible to sort by sender and date, title and date or sender and subject. The only important thing to remember is to press the shift key while doing it to get the desired effect.</p>
<p><span id="more-14394"></span>Outlook will display the up and down sorting icons (up or down arrow) in the columns that have been chosen by the user to make it easier to understand how the emails were sorted. The first selected column will be the primary sort order, the second obviously the secondary with the possibility to add additional columns as well.</p>
<p>Here is a practical example. Lets say you receive lots of message from one email sender. You can sort the emails in Outlook by sender which would display the most recent emails from that sender on the top. If you wanted to sort these emails by size you would simply press shift and then click on the from and size column titles so that the largest emails would be displayed on top from each sender (another click on the size column would sort them with the lowest on top as it would reverse the sort order).</p>
<p>This sorting technique works not only with emails in Outlook but also RSS feeds and pretty much everything else that is displayed in tables in the email client.</p>

Twitter is one of the prime candidates for that integration as it is highly popular in these days. The TwInbox add-on for Microsoft Outlook integrates Twitter in the email client giving the user the opportunity to work with Twitter directly in the mail client.</p>
<p>TwInBox, which was formerly known as OutTwit, is compatible with Microsoft Outlook 2003 and Outlook 2007 running on Windows XP or Windows Vista with the likelihood that it will also work in <a href="http://windows7news.com/">Windows 7</a>. Installation is a breeze. All that needs to be done is to run the setup (while Outlook is closed). The TwInbox add-on will automatically be displayed in the Microsoft Outlook toolbar on the next start of the email client.</p>
<p><span id="more-14307"></span>The first thing a new user needs to do is to get into the options and enter the Twitter username and password to link these to the Outlook account. A new Outlook folder for Twitter messages has to be created in the same interface as well. There are other options like displaying notifications whenever a new Twitter message arrives.</p>

There are also quite a few options that could be very interesting for some Twitter users including the ability to handle Twitter messages like emails with the option to archive, manage, group and search them. There are also options to track keywords, upload and post pictures and files that have been send to Outlook, automatically sort messages in sender folders or to assign custom folders and categories to new messages. There is also a graph available that is displaying Twitter usage statistics.</p>

One example would be that a supervisor wants a copy of every email that an employee sends to customers to keep track on everything. Probably the easiest way of achieving this is to add the supervisor as a cc or bcc recipient in the emails. This is supported by all modern email clients be they web based such as <a href="http://www.ghacks.net/2009/02/09/gmail-90-tools-and-tips-to-make-you-a-gmail-pro/">Gmail</a>, Microsoft Live Mail and Yahoo Mail or desktop based such as Mozilla Thunderbird or Microsoft Outlook.</p>
<p>The Outlook Auto BCC / CC add-in has been designed specifically for Microsoft Outlook. It allows the installation of automatic bcc and cc recipients in email messages based on rules. Possibilities include setting a rul for all outgoing emails from all email accounts, messages send to specific email addresses or messages that match specific phrases in the subject or attachment.</p>
<p><span id="more-13574"></span>It is furthermore possible to create exceptions to rules so that certain email addresses and emails do not get archived or monitored. </p>
<p>This is an excellent solution for email archiving as well as it it unproblematic to send all emails to another email account for backup purposes. It would for example be possible to create a backup Gmail account and add that new email account as a BCC recipient for all email messages that are send from Microsoft Outlook. Another interesting option is to configure the Microsoft Outlook add-in so that only emails that contain specific keywords or phrases are send to another recipient. </p>

<p>The main benefit of this email archiving and monitoring solution is that the user behind the monitor does not has to remember to add a BCC or CC recipient as the Outlook add-in manages all aspects of this automatically. </p>

<p><span id="more-13554"></span><a href="http://www.ablebits.com/outlook-sender-timezone/">Sender&#8217;s Time Zone</a> (via <a href="http://www.technospot.net/blogs/outlook-plugin-to-find-senders-time-zone/">Technospot</a>) for Microsoft Outlook changes that for Microsoft Outlook as it displays information about a sender&#8217;s time zone when replying to emails.</p>

<p>The plugin for Microsoft Outlook requires no configuration after the installation. It will automatically display the sender&#8217;s current time and the time zone difference in hours ahead or behind when replying to email messages in the email program. </p>
<p>Sender&#8217;s Time Zone is a plugin for Microsoft Outlook 2007, Outlook 2003, Outlook XP (2002) and Outlook 2000.</p>

Users who try to save these images realize that they can only be saved as bmp images and not in the original format that they were send in. The only way to return the image in its original format is to convert it after saving it to the computer system.</p>
<p>That&#8217;s however not a practical solution in most cases. <a href="http://www.howto-outlook.com/howto/saveembeddedpictures.htm">Robert Sparnaaij</a> outlined another solution. The Microsoft Outlook macro that he <a href="http://www.howto-outlook.com/howto/saveembeddedpictures.htm">provides</a> on his website can be used to save all images of an email in their original format. His macro adds two combined options to Microsoft Outlook: Saving all images of an email in their original format.</p>

<p>Outlook users have to create the macro by themselves. The process is outlined on the author&#8217;s homepage and should not take more than a few minutes even for inexperienced users. The macro will be added as a button to the Microsoft Outlook toolbar from where it can be pressed to open a save dialog window which will save all images of the active email in their original format on the computer system. The macro is compatible with Microsoft Outlook 2003 and 2007.</p>

The software program scans the Microsoft Outlook mailbox and will display statistics about every contact found. The email analyzer will scan incoming and outgoing emails and display various statistics that are computed during the scan. It will add every user to the usual table form that is part of almost every Nirsoft application. Each row includes information about incoming and outgoing email messages sent and received by the user, the total email message size, the email client used by each user and the time range that the emails were send and received. The outgoing emails are further divided into to, cc, bcc and total.</p>

The program can scan the Outlook mailbox automatically if only one Outlook profile on the computer system exists on the computer system and if that profile is not password protected. Microsoft Outlook users with multiple profiles or password protected profiles need to start Outlook with that profile activated before they run Outlook Stats View.</p>
<p>Scanning time depends largely on the size of the Outlook mailbox, it usually ranges from mere seconds to several minutes. Options to export the mail statistics to html are provided. </p>

Outlook users who work with dozens or even hundreds of folders will appreciate the add-on the most while users with only a handful might not at all. It is a specialized Outlook add-on that provides in interface outside of Microsoft Outlook. It is best used next to Outlook to take full advantage of the possibilities it offers. It provides instant search as you type results and finds folder names in seconds. Please note that this is restricted to folder names, it will not find emails at all.</p>
<p><span id="more-12849"></span>A double-click on a folder in the Outlook add-on will open it directly in a new Microsoft Outlook window. It is furthermore possible to copy mails to the folders in the Outlook add-on which might prove to be a quicker way for users with lots of folders. This can be done by right-clicking selected emails in Outlook and selecting &#8220;Move Selected email to this folde&#8221; or by using the shortcut [Ctrl V]. Folders can be added to favorites for quick access. </p>

The add-on can automatically check for duplicate emails. This is done by checking the message-id headers and comparing it to emails that have been received in the last 48 hours.</p>
<p>The Microsoft Outlook add-on is definitely not an add-on for every Outlook user. The duplicate mail detection might make it interesting for users that do not use the add-on&#8217;s main search feature. </p>

Not all add-ins are needed all the time and some even slow down the startup or performance of Microsoft Office programs.</p>
<p><span id="more-12715"></span>The Office add-in startup manager provides the means to disable Microsoft Office add-ins comfortably. The program will display all add-ins, enabled or disabled, that are currently installed in Microsoft Office. It sorts the add-ins in tabs that refer to the Microsoft Office program that they are installed in. Displayed are tabs for Microsoft Access, Excel, Outlook, PowerPoint and Word.</p>

<p><a href="http://www.topalt.com/enabledisable">EnableDisable</a> might also come in handy to permanently disable add-ins in Microsoft Office in case they are not needed at all. All in all a very straightforward comfortable tool to manage Microsoft Office add-ins. </p>

It&#8217;s usually a good idea to remove old attachments regularly from the email program to free up space that might be needed elsewhere.</p>
<p><span id="more-12045"></span>The Microsoft Outlook Attachment Extractor is a small software program for the Windows operating system that can extract and remove email attachments from selected Microsoft Outlook folders. Extracting in this case simply means to save the attachments of a selected Outlook folder to another location on the computer system. Removing on the other hand means that the attachments will get unlinked from the email messages which will free up the space on the hard drive that the Outlook mails and profiles reside on.</p>
<p>This does not have to mean that the attachment cannot be opened from the email anymore. It is possible to remove the attachment from the Outlook folder completely, to replace it with a link pointing to the new location of the files or to replace it with a text reference in the email attachment.</p>

<p>Several options are available to configure the process in detail. It is for example possible to only process attachments that have a specific extension or those that are larger than a certain file size. The destination folder for the attachments can be selected as well as rules on how to process already existing files.</p>
<p>The <a href="http://www.kopf.com.br/outlook/">Outlook Attachment Remover</a> can also be used to add the removed attachments to the email messages again at a later point if the need arises.</p>

User A receives the email and then replies back, again with all the contents included that he initially send to User A, plus the reply of User A plus his own answer. And so forth..</p>
<p><span id="more-12038"></span>It is not seldom that ten or more messages have been send back and forth each containing duplicate content from previous emails. Microsoft&#8217;s Outlook Thread Compressor has been designed specifically to reduce the size of the Outlook mailboxes by removing unnecessary emails from a thread. That&#8217;s right, the tool will delete emails in Outlook. This leads to a very important word of caution: It is advised to create a backup of the Microsoft Outlook email folder before you start using the program. While it has been designed and tested carefully one cannot be cautious enough when it comes to programs like this.</p>

<p>There are a few rules that will keep <a href="http://threadcompressor.co.uk/default.aspx">Outlook Thread Compressor</a> (via <a href="http://www.technospot.net/blogs/download-outlook-thread-compressor/">Technospot</a>) from deleting mails. It will ignore emails containing attachments as it does not come with the means to compare the attachments as well. Another limitation is that it is only effective on internal mail as it uses the conversation threading properties that are preserved for Outlook Exchange messages.</p>
<p>The user can select an Outlook folder that should be processed by the program. The mails can be moved to another folder instead of being deleted right away which is another way of testing the program&#8217;s functionality. A list of exceptions can be filled to have certain email messages never deleted by the Outlook compression program.</p>
<p>Installation is a bit complex and requires administrator privileges. It is outlined at the program&#8217;s homepage. The program &#8211; although not actively developed for more than six years works with all versions of Microsoft Outlook that have been released after Windows 2000. It is also compatible with both Windows Vista and <a href="http://windows7news.com/">Windows 7</a>.</p>

<p><a href="http://code.google.com/p/undbx/">UnDBX</a> is a command line utility that can extract the email messages found in Microsoft Outlook dbx files. It extracts them into the more versatile eml format which can then be accessed and viewed in text editors or email clients. The eml format is more widely supported which means it can also be opened (or imported) in various email clients.</p>
<p>The command to extract dbx files is <strong>undbx DBX-DIRECTORY OUTPUT-DIRECTORY</strong>. The program will automatically extract email messages of all dbx files in the selected directory. The developer added a vbs script (Visual Basic) that offers a graphical user interface for the same process. It will display a file browser that can be used to selected the source directory that has to contain the dbx files and a destination directory for the eml files.</p>
