Christmas Giveaway FILEminimizer Office

If you have ever worked in a network environment with strict rules that include storage and network transfer limits you might have come into a situation where you received an email from the system administrator about your disk space quota or over the limit network transfers. Sending a 50 Megabyte PowerPoint presentation to all employers was not such a good idea afterwards.

FILEminimizer Office is a Office compression software that can reduce the file size of Office documents such as Microsoft PowerPoint presentations, Word documents or Excel spreadsheets considerable. The reduction depends largely on the source document as it does not really make sense to compress a single Excel sheet with a size of only 12 Kilobytes.

The real strength of FILEminimizer Office are documents that contain images and embedded objects. Anything that raises the file size of the document considerably.

The Office file compression program comes as a standalone application, as add-ins for Microsoft Word, Microsoft Excel and Microsoft Powerpoint and with Windows Explorer integration. The user gets the choice to install all or only selected modules with the exception of the standalone program which needs to be installed.

The program is compatible with all native Microsoft Office 2003 and Microsoft Office 2007 file formats including docx, pptx or xlsls but also the more widely used formats doc, xls and ppt. This does mean that it can also process documents that have been created in other applications, like Open Office for instance, if the documents have been saved in these formats.

Office documents can be loaded into FILEminimizer Office in various ways. It is possible to drag and drop them into the interface, open files with the build in file browser, search for files from within the program’s interface or use one of the add-ins or Windows Explorer to send documents to the program.

The Office compression software lists all documents that have been added in the interface with their file names and sizes. A click on the Optimize Files button would optimize all documents that have been added by the user. The program will display a report in the end that displays the old size, new size and the reduction that was achieved by the file compression.

It then gives the user the option to view the newly created file which can be used as a quality control measure, to email or to delete it.

Here is the main thing that sets this apart from standard compression software which can also reduce the size of Office documents: FILEminimizer Office will retain the file extension which means that users on the receiving end will be able to open the documents as usual. That’s better than sending the documents as zip or rar archives hoping that the recipient has the tools to unpack them to view the documents contained withing.

The compression level is set to standard by default. This can be changed by the user to strong or low compression. Advanced users can also sopt for a custom compression which allows them to configure the optimal screen resolution and quality of images and photos that have been added to the documents as well as the quality levels for doc and xlsx files.

The file size of the docx document that is shown in the first screenshot was reduced by 79% with standard compression. Strong compression raised this to 93.7% while low compression was still able to reduce the file size by 58.8%.

The Pack and Go option in the program can be interesting for users who regularly write emails with document attachments. It basically allows the user to select documents which will be optimized and added as attachments to the default email program. FILEoptimizer Office comes with an Outlook add-in that can be set to optimize files on the user’s request or automatically.

The remaining Office add-ins can be used to send the current document to the FILEminizer interface from where they can be optimized.

FILEminimizer Office will save the optimized files separately retaining the original document. This behavor can be configured in the program’s options. It is for one possible to select text that should be added before or after the original filename (e.g. adding optimized at the end) and to change the default behavior from creating new optimized files to replacing the original files.
